ai use policy.
Last modified August 2026
At Power Your Habits, our work is rooted in building operational systems that support a business and hold it together, systems shaped by how you actually think and lead as a human. Our driving factor is always to create structure that feels like a natural extension of the way you run your business and the experience you want your clients to have. We believe AI-generated systems and information, copy-and-pasted “hot off the press” fail to reflect the specific way a founder thinks and operates, but we do use AI tools at certain points in our process.
This policy outlines where we use AI, where we don’t, and how we protect your business and its information throughout our work together.
POWER YOUR HABITS AI POLICY OVERVIEW
We use AI as a research and drafting tool, not a replacement for human-built strategy, judgement, or operational leadership. Every system, workflow, and deliverable is shaped, tested, and approved by a human. AI helps us move faster and consider angles we may not have thought of on our own, but we would never take something straight from AI and hand it to you as a finished deliverable.
WHERE WE USE AI
Research & Strategy
AI supports the early-stage thinking that makes our work more grounded and efficient. This includes:
Researching industry benchmarks and operational best practices relevant to your business model (and are treated as a rough starting point in the research process)
Synthesizing patterns across tools, platforms, and workflows to identify opportunities
Generating initial frameworks for SOPs, project plans, or systems documentation
Systems & Documentation
AI is sometimes used to generate early-stage drafts or to explore different approaches to a workflow, SOP, or process. However:
All AI-assisted drafts are treated as a rough starting point only
Every system we build is reviewed, tested, and approved by a human
Your specific way of operating, your decisions, and your business’s unique needs are always layered in by hand
We do not deliver AI-generated systems or documentation as a finished product without human review and refinement
WHERE WE DO NOT USE AI
These are areas where AI has no place in our work:
Emails: We never want you to feel like you’re talking to a robot. Our emails are written straight from our human brains and fingers, typos and all.
Strategic decisions: We do not use AI to make judgment calls about your team, your priorities, or your business direction. Strategy comes from understanding your business, not a prompt.
Client confidential information: We do not input sensitive client data, business financials, passwords, or proprietary strategy into AI tools with public-facing data policies.
HOW WE PROTECT YOUR INFORMATION
When AI tools are used in our process, we follow these practices to keep your information safe:
We do not share you personal details, business financials, or proprietary systems with AI platforms
We use AI tools with privacy-conscious settings where available
We treat everything you share with us, and everything living inside your business, as confidential
OUR COMMITMENT TO MINIMIZING HARM
We recognize that using AI tools is not a neutral act. The infrastructure behind these systems consume significant energy and water resources, and the rapid expansion of AI has environmental consequences. These consequences shape our use of AI tools.
Environmental Impact
AI model training and inference require substantial computing power, which translates to energy consumption and carbon emissions. We can’t eliminate that footprint by choosing to use these tools, but we try to be thoughtful about it:
We use AI deliberately, not reflexively. If a task doesn’t genuinely benefit from AI assistance, we don’t use it
We avoid running redundant or exploratory AI queries just to experiment, keeping our usage purposeful and limited
We stay informed about the environmental practices of the tools we use and factor that into which platforms we choose
QUESTIONS?
We’re always happy to talk through how we work. If you have questions about how AI is or isn’t used in your specific project, just ask. Contact: Lei Ann Finch, Power Your Habits Founder at lafinch@poweryourhabits.com
